Drop Ship Specialist

We’re looking for a Drop Ship Specialist to join the Ecommerce team and grow with us. You will work as a liaison with all divisions in the company when onboarding the suppliers into the Drop Ship program. The main focus of this role is effective, profitable, and sustainable set up onto the program, with an emphasis on relationship management after the vendor goes live.  This role is a crucial part of a new team within our growing Hot Topic and BoxLunch ECommerce team.


  • Assists in Vendor Training and Program Onboarding
  • Evaluating assortment expansion opportunities with merchants and head of Drop Ship
  • Evaluating eligibility (survey) of potential vendors
  • Contract coordination between Hot Topic and vendors
  • Project Manager for internal micro processes during onboarding (item set up, carrier set up, training sessions)
  • Approving all brand standards for HT
  • Ongoing relationship/program management
  • Working with vendor and Head of Drop Ship to update assortments as needed
  • Manage timing and coordination of cost update requests
  • Primary contact for vendor account executives
  • Holding vendors accountable to SLA’s
  • Analysis on health of the business (profitability)
  • Work closely with Drop Ship Coordinator to escalate operational issues to the vendor


  • Undergraduate Degree in Business, Logistics Operations, or related fields a plus
  • Minimum of 2-4 years experience in Drop Ship or e-Commerce operations department
  • Minimum of 4 years in retail or B2C role
  • Basic knowledge of Supply Chain Management and/or Distribution
  • Technical aptitude with web-based tools and proficiency with Microsoft Office Suite
  • Understanding of retail landscape, and “best practices”
  • Sound understanding of EDI systems. Able to identify, manage, and lead EDI improvement projects
  • Skilled in critical thinking: synthesize findings from analysis to draw conclusions
  • Skilled in problem resolution, especially as related to data integrity and how data is managed in ERP systems.
  • Skilled in project management, workflow processes, and time management
  • Effective at performing detail-oriented tasks and data analysis
  • Demonstrated ability to work effectively with cross-functional teams and willingness to take on responsibilities outside primary job description when necessary
  • Excellent written, spoken, and presentation skills
  • Understanding of business and ability to foresee and react to the impact of strategies prior to implementation
  • Demonstrated ability to successfully recognize operational efficiencies
  • Proven ability to provide sound business judgment and influence others to execute
  • Demonstrated success recommending strategies backed by metrics and analytics
  • Demonstrate strong resource workload and capacity management skills
